Academic Policies


Policies on Retention, Promotion, and Disqualification

In order to continually uphold the minimum graduate requirements of a BS Pharmacy programme and to ensure that no student shall exceed the maximum residency period for undergraduate courses, DLSMHSI College of Pharmacy has established policies on retention, promotion, and disqualification from the programme not separate from other provisions of the same by the institution.

  1. General Requirements for Retention and Promotion
    • The student should be cleared in all academic requirements including laboratory accountabilities in the Year level;
    • The student should have submitted all acceptance/registration credentials to the Registrar (for First Year students);
    • The student should be cleared by the Accounting office from all financial accountabilities; and
    • The student should not be subject to immediate disqualification following guidelines set by The Student Affairs.
  2. Specific Requirements for Retention and Promotion
    Specific requirements for retention, promotion, and disqualification can be found in the Implementing Rules and Regulations of the College of Pharmacy: Admission, Promotion, and Disqualification Policies.

Retention and Promotion Requirements in the BS Pharmacy Programme

Year Level Requirement/s
First Year ·     To be retained in the programme and promoted to the Second Year level, the student should have:

a.      Not less than 85.00% GWA at the end of the Academic Year (including the Mid-year Term); and

b.      Passed all subjects in the First Year level

·     A student who fails to meet the minimum GWA, or the requirement to pass all subjects at the end of the Mid-year Term shall be subject to a readmission assessment process of the college.

·     A preliminary assessment of the combined First Semester and Second Semester GWA is conducted at the end of the Second Semester of the Academic Year for advising in the enrollment for upcoming Mid-year (Summer) Term. A delinquency status in the preliminary assessment arising from less than 85.00% GWA may be relegated or totally lifted at the end of the Mid-year (Summer) Term.

·     When a student incurs a delinquency status in any previous semester/s, but has completed (passed) the subjects during the academic evaluation period (usually 1 to 2 weeks before enrollment), the delinquency status may be relegated or totally lifted depending on the student’s current number of academic units enrolled and passed.

Second Year ·     To be retained in the programme and promoted to the Third Year level, the student should have:

a.      Not less than 81.00% GWA at the end of the Academic Year (including the Mid-year Term for irregular students); and

b.      Passed all subjects in the First Year level

·     A student who fails to meet the minimum GWA, or the requirement to pass all subjects at the end of the Second Semester (Regular) or Mid-year Term (Irregular) shall be subject to a readmission assessment process of the college.

·     When a student incurs a delinquency status in any previous semester/s, but has completed (passed) the subjects during the academic evaluation period (usually 1 to 2 weeks before enrollment), the delinquency status may be relegated or totally lifted depending on the student’s current number of academic units enrolled and passed.

Third Year ·     A student must pass all academic requirements of the Third Year level to be promoted to the Fourth Year level.

The continued stay of all students into the BS Pharmacy programme is subject to the promotion, retention, and disqualification policies of the college and the Institution. No student shall exceed the maximum required residency period of eight (8) years, inclusive of leave of absences (LOA).

  1. General Criteria for Immediate Disqualification Applicable to All Year Levels
    1. Submission of falsified credentials during the admission process (verification period is from 6 months to 1 year after admission);
    2. Failure in any subject twice;
    3. Falsification of supervised practical pharmacy experience (internship) certificates, time cards, and other official forms;
    4. Membership in any fraternity, sorority, or other unauthorized organization;
    5. Unauthorized access and unsupervised conduct of experiments in any of the laboratories; and
    6. Cheating in any form, and sanction of disqualification and/or termination from the programme due to disciplinary action.
  1. Requirements for Transferees and Shiftees
    1. Transferees and shiftees are only accepted in the First and Second Year levels of the BS Pharmacy programme. The college does not accept transferees and shiftees into the Third and Fourth Year levels of the programme.
    2. At least fifty percent (50%) of the courses or total number of units should be taken in the institution as part of the BS Pharmacy programme.
    3. A converted average or GWA of 85.00% is required for transferees and shiftees.
    4. Transferees should not have a failing grade (below 75.00%, or equivalent) in pharmacy courses in the previous school of pharmacy; for non-pharmacy majors, they should have no failing grades in Algebra, Calculus, Biology, Chemistry, and Physics.
    5. Crediting of courses already taken in other institutions/universities may be done subject to the evaluation of the College Admission Committee and the Dean. The college reserves the right to deny giving credit:
      • if the course description of previously taken subject does not match the subject offered;
      • if the number of units is less than the required number of units in the programme; and
      • if the grade is not obtained from a recognized and reputable academic institution.
    6. In some cases, the transferees or shiftees may be required to take a validation examination to be credited for previously enrolled courses. The validation examination is a special examination subject to appropriate fees prescribed by the institution.
